Erasmus+ Exchange Program for Academic and Administrative Staff of Ilia State University
Academic and administrative staff at Ilia State University have the opportunity to participate in short-term mobility under the Erasmus+ exchange program:
- For Teaching Purposes: This activity allows academic staff to teach at a partner higher education institution.
- For Training Purposes: The aim of this activity is to support the professional development of university staff by providing opportunities for training (excluding conferences) or (job shadowing) at a partner university.
Typically, the calls for applications within the Erasmus+ exchange program are announced twice during the academic year, and selected candidates carry out their mobility in the following semester.
Information about each call is communicated through Argus, email, and the official website. During the application period, the International Relations Office also organizes weekly information sessions.
In addition to the calls administered by Ilia State University, partner universities may periodically open their own application calls. Details about these opportunities are shared through the same communication channels.
What are the mandatory requirements for participation?
- Academic staff must be full-time or contract employee of Ilia State University during both the call period and the mobility.
- Applicants must submit a letter of confirmation or invitation from the relevant professor or faculty of host university who will be hosting the selected candidate during the mobility. This rule does not apply if the selected host university does not require a letter of confirmation from at the time of the call.
- Applicants must provide proof of proficiency in the relevant foreign language (see the list of required documents).

- If the candidate has already participated in the administrative staff exchange program, at least six months must have passed from the last or planned mobility before submitting a new application for the same type of activity (administrative staff mobility).
- Applicants must submit a letter of confirmation or invitation from the relevant department/unit representative of host university who will be hosting the selected candidate during the mobility. This rule does not apply if the selected host university does not require a letter of confirmation from at the time of the call.
- Applicants must provide proof of foreign language proficiency at B2 level (see the list of required documents).

What is the maximum number of universities a candidate can apply to?
- Academic and administrative staff can apply to a maximum of three universities.
What is the procedure for submitting an online application for the call administered by Ilia State University?
- The online application must be completed using an Ilia State University email address. Applications submitted using personal or other email addresses will not be accepted.
- To upload documents in the application form, candidates must have sufficient free space in the Google Drive account linked to their ISU email.
- The application must be submitted electronically within the application period, before the deadline.
- Only completed applications will be considered. Documents sent in stages will not be accepted. failure to submit a complete application will result in automatic disqualification.
What are the required documents for online application?
- All documents must be provided in English. If a document is issued only in Georgian, it must be translated into English and notarized.
- All documents must be in PDF format, and the size of each document must not exceed 10 MB
- Documents must be named according to the specified English titles, for example: Name Surname_Passport.

What steps does the application go through before final selection?

On what basis are candidates nominated for administrative staff?
- During the administrative staff competition, candidates with valid applications will be interviewed. Based on the assessment from the interview, the interview committee decides on nominations to the host university (see Article 2.4).
On what basis are candidates nominated for academic staff?
- During the academic staff competition, information about candidates with valid applications is sent to the host university(s) for final selection. If the host university declines to select candidates, Ilia State University ranks valid candidates using a bonus system that considers the following factors: previous participation in exchange programs, language certificate, work experience, cooperation with the host university, academic position (see Article 2.5).
What procedures must be completed at the home university before mobility?
- Before Erasmus+ mobility, academic and administrative staff must contact the Rector (for academic staff) or the Head of Administration (for administrative staff) regarding travel authorization no later than 3 working days before departure.
When will I receive the scholarship at the host university?
- Scholarship conditions, as well as the period, vary depending on the host university and the regulations of the specific country. The selected candidate must carefully review the Grant Agreement, which contains detailed information regarding the scholarship. For additional questions, contact the host university’s International Relations Office or Erasmus+ program coordinator.
- Moreover, in most cases, the scholarship is provided after the mobility begins. Therefore, it should be noted that the candidate may need to cover some mobility-related expenses before receiving the scholarship.
What procedures must I follow at Ilia State University after mobility?
- After mobility, the exchange program participant must complete and submit to the International Relations Office, within 2 weeks, the activity report of the actions carried out during mobility and attach the (teaching) materials used. They must also describe the results in detail and attach evidence (if available).
- After mobility, the participant must complete the International Relations Office questionnaire.
- Within one month after mobility, the participant must carry out pre-planned dissemination activities (presentation, public lecture, uploading the report to a website, etc.). Information about the planned activity must be immediately communicated to the International Relations Office.
